PHASE 1

EVENT DESIGN

Spending time exploring the purpose, content design, entertainment, presenters, and MC and how this fits into the design perspective.

We explore the environment, venue criteria, layouts, floor plans and how they meet your design needs. The all-important decisions around catering and service and how you want your guests to feel with sound, lighting, and stage production.

Designing an exceptional experience for your audience through supporting your creative endeavours collectively.

When you finish the design section of the plan, you will have figured out:

  • content, including topic, format & presenters
  • entertainment from sourcing, selecting, coordinating & supporting
  • the environment such as how you want people to feel, the decor, props, theming
  • what you will offer your guests in relation to refreshments, meals, catering
  • what production do you need to support your program, such as stage, lights, sound
  • what will you include in your program
  • what will the theme be that supports the purpose, message, brand or objective
PHASE 2

MARKETING

Never wonder again if you have done enough. If you haven't already done it, here you can establish your target market and how your material, such as invitations, posters, and marketing collateral, looks. Creating the plan to share your message online and offline, how to get publicity, and the most effective way to sell tickets. And there's a bonus section on sponsorship and partnerships (yep, there's a difference).

When you finish the marketing section of the plan, you will:

  • understand who your target customer is and what you need to say to pursuade them to come to your event
  • have a clear vision of the distribution and design method of how you will invite people to your event
  • know where to find your target attendee and start communicating with them
  • who you need to get on board to help you get support for your event
  • have an easy process to help your guests RSVP, buy tickets, register
  • have a list of potential supporters that can help you achieve your purpose
PHASE 3

OPERATIONS

If you haven't already done it, here you can establish your target market and how your material, such as invitations, posters, and marketing collateral, looks. Creating the plan to share your message online and offline, how to get publicity, and the most effective way to sell tickets.   • have a clear idea of how people will transition into your event, the path they will need to take and the journey you will take them on

  • have a draft 'run sheet' or sequence of events that has to happen before, during, and after your event
  • know how to handle all the audience requirements that need to be managed
  • have a clear idea of what you need in a venue or site, know how to inspect it and evaluate your various options
  • start to look at where you get suppliers from
PHASE 4

ADMINISTRATION

Working with budgets and knowing what price to charge. Managing resources, volunteers, committees, and staff. Run sheets, schedules, project planning and timelines, and record it all so you can grow your event. All while keeping on-side with those whose help you need.

The tasks, checklists and activities that keep the wheels turning, the momentum building, and the execution running in the background.

When you finish the administration section of the plan, you will:

  • have created a draft budget that extends to revenue & expenses, detailing an expected financial outcome
  • have an understanding of the number of people you need to produce your event, as well as your volunteer workforce requirements
  • consider what reports you need to create, plans you need to record, and procedural matters
  • have thought about how you will buy and contract services & suppliers
  • identify and understand all the stakeholders that can and will have an impact on your event 
  • set up how you will manage your database, knowledge management & information
  • start to work on your timelines, production schedules and project charts
PHASE 5

CONTRACT, RISK & NEGOTIATION

Compliance and making sure you meet all your legal obligations. Create decision-making structures, COVID-safe plans, and keep your guests safe. You will understand contracts, and gain negotiating power, not to mention a great list of key suppliers.

Know the basics of protecting yourself, your company and your guests, and build the skills to know when to call in a professional.

When you finish the contract, risk & negotiation section of the plan, you will:

  • have considered any licenses, regulations, laws or codes that you need to abide by
  • established decision making rules & criteria and established a chain of command
  • understand and consider the requirement for health & safety, emergency procedures and COVID safe event plans
  • thought about whether you need special insurance for this event - or do your participants or exhibitors need insurance?
  • have an understanding of whether you need legal representatives to negotiate & understand contracts
  • look at your security requirements, consider procedures and systems of control
